Who We Are
FECFlow is a software-as-a-service platform built for family entertainment centers. We provide venue operators with tools for digital waivers, bookings, point-of-sale, staff management, and analytics. Our registered contact is hello@fecflow.com.
Information We Collect
We collect different categories of data depending on how you interact with FECFlow:
- Venue operators (subscribers): Name, email address, billing information (processed by Stripe — we never see raw card numbers), venue name, and usage data generated while using the platform.
- Waiver signers (end customers of our operators): Name, email, phone number, date of birth, IP address at time of signing, digital signature, and information about any minors included on the waiver. This data is collected on behalf of the venue operator and stored in their account.
- Booking customers: Name, email, phone number, and booking details entered by operators or submitted through booking forms.
- Staff members: Name, role, email, hourly rate, and clock-in/out records entered by venue operators.
- Contact requests: Email address only, submitted when you ask us to follow up or send a walkthrough.
How We Use Your Information
- To provide, operate, and improve the FECFlow platform
- To process subscription billing via Stripe
- To send transactional emails (account confirmations, billing receipts) via Resend
- To enable venue operators to manage their customer records, bookings, and staff
- To follow up with interested operators and send product updates to trial users (you can unsubscribe at any time)
We do not sell personal data to third parties. We do not use customer data for advertising.
Data Ownership
Venue operators own the customer data they collect through FECFlow (waivers, bookings, transactions, staff records). FECFlow acts as a data processor on their behalf. Operators are responsible for obtaining appropriate consent from their customers and for complying with applicable privacy laws in their jurisdiction.
Third-Party Service Providers
We use the following sub-processors to operate our service:
- Supabase — database and authentication (data stored in US-East region)
- Stripe — payment processing and subscription billing
- Resend — transactional email delivery
- Vercel — application hosting and edge delivery
Each provider has their own privacy policy and security certifications. We choose providers that maintain strong data protection standards.
Data Retention
We retain your account data for as long as your subscription is active. If you cancel, your data is retained for 30 days and then permanently deleted upon written request. Waiver and transaction records may be retained longer if required by applicable law. You can request deletion at any time by contacting us.
Security
All data is transmitted over HTTPS. Data at rest is encrypted using 256-bit AES encryption. Access to your venue data is protected by row-level security — no other operator can access your records. We perform regular security reviews and follow industry best practices.
Your Rights
You have the right to access, correct, export, or delete your personal data. To exercise any of these rights, contact us at hello@fecflow.com. We will respond within 30 days.
Cookies
FECFlow uses session cookies required for authentication. We do not use advertising cookies or third-party tracking pixels. Our analytics, if any, are limited to aggregate, non-identifiable usage data.
Changes to This Policy
We may update this policy as our product evolves. We will notify active subscribers of material changes via email at least 14 days before they take effect.
